Job Summary:

Provide high-level administrative support to the executive team by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. May also train and supervise lower-level clerical staff.

Highly resourceful team-player with the ability to also, be extremely effective independently. Ability to edit, proof, and prepare business correspondence and reports from a draft or oral instructions and to compose correspondence independently Proactive attitude combined with sound judgment Experience in organizing meetings, preparing and monitoring budgets, expenses, and expense reports assisting with travel and hotel accommodations, and providing general office operations support. Problem-solver mindset and flawless execution across the board 4+ years of experience supporting high-level leaders as an executive assistant BA/BS degree preferred


Build a thorough understanding of the business in order to support the CEO in driving the priorities of the organization. This may include sitting in on recurring 1-on-1 meetings with the CEO and other members of the org, tracking and communicating project and initiative status to the CEO. Manage and coordinate the schedule of meetings, events, and travel for the Executive team and members of their team. Works closely with the CEO on special projects, and on sales and marketing activities. Acting in place of CEO in meetings when the CEO is not available Prepare first-drafts of presentations and materials for CEO; collects and harmonizes materials from different groups when creating larger presentations. Accurately track expenses for the CEO by managing credit cards and receipts Maintain high confidentiality and use a high degree of discretion Supports and coordinates all meeting arrangements including agenda setting, teleconferences, and video conferences, and note-taking as required. Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution. Coordinate and execute events and company outings; performs general office duties such as reception of guests and coordination of site visits, handling mail and packages, food ordering and delivery as needed. Coordinate communication within departments and follow up on issues as needed Gather and analyze various information and data as well, as assist in tracking department budgets as needed. Prioritizing and handling correspondence; researching and handling special projects; and arranging board of directors or shareholder meeting Managing the CEO’s schedule; acting as her representative in dealings with third parties including prioritizing and resolving related conflicts and competing demands, proactively scheduling important meetings with internal and external individuals and maintaining sufficient blocks of working time for the CEO.Additional tasks as assigned
