Job Description

Title:  Instrument Data Analysis Coordinator
 
Shift:  Full-Time, Days
 
This position will be located in the Sterile Processing Department at The Christ Hospital, 2139 Auburn Avenue, Cincinnati, Ohio 45219.
 
Job Overview:  Has the responsibility and accountability to input all data related to instruments and equipment for the departments Instrument Tracking System, to generate all related reports and additional data as requested, and to coordinate the installation and system changes as determined by the system vendor. Provide appropriate instructions for new employees, as well as instructions and training for system enhancements, maintain all system data and ensure accuracy of same.  Acts as interface between the departmental users and the system vendor for problem resolution and is the data input person as needed.  Coordinates all updates with Microsystems.
 
The Instrument Data Analysis Coordinator may perform the following duties:
  • Database Maintenance:
    • Assures that the standards of operation of the department are in compliance with the standards set by regulatory agencies, such as the State Department of Health, Joint Commission and AAMI.
    • Directs the overall activities of the Microsystem Instrument Tracking System (SPM). 
    • Directs the overall activities insuring all surgical trays are properly labeled and instruments identified within the SPM.  This would involve coordination with the OR department to insure surgical tray availability in support of the daily OR schedule and insuring that current instrument descriptions on the container definitions are correct and are understandable by the OR staff.
    • Supervises third party vendor employees involved in bar coding and repairing instruments.  Works with director, manager and vendors to ensure adequate staffing, quality performance and resolution of service issues
    • Establishes internal inventory levels and maintains levels in accordance with set standards. Works with end users to establish par levels needed for bar coding. Monitors levels in SPM for proper utilization.
    • Promotes quality by seeking to continually improve the instrument tracking and repair processes
    • Evaluates Bar Coding System policies and procedures at departmental level. Revises as necessary for compatibility with current technology.
    • Oversee and manage identification of the instrumentation insuring proper descriptions as required by OR department. 
    • Evaluates, inspects, and oversees all repairs of surgical instrumentation. Assure that the repairs are returned to the proper area in a timely fashion and within cost parameters.
    • Adequate maintenance of the repair and maintenance database will assist in budget planning for future repairs.
    • Works with surgical coordinators and other members of the health care team, to evaluate, modify and implement changes to surgical procedural trays, and reports to the Manager of Sterile Processing on any modification or changes.
    • Assures photos of instruments and trays are posted in the database to assist with accurate assembly of the trays
  • Staff Education:
    • Maintains continued education in the field of Central Sterile processing.
    • Promotes quality by seeking to continually improve the instrument tracking and repair processes.
    • Provides ongoing education and training to Staff on the SPM  in coordination with the Department Educator.
    • Utilizes appropriate resources to teach and improve practices and changes to the SPM with all staff
    • Demonstrates team building behavior, facilitates professional growth, seek opportunities to accomplish organizational and departmental objectives.
  • Database Reporting:
    • Provides monthly activity reports from SPM to the Director. Reports include: Employee Productivity, General Inventory Throughput, Implementation Status, and PAR Levels. 
    • Utilize custom report functionality in SPM to produce data as necessary.
    • Responsible for maintaining procedure for tracking instrumentation in the event of infection issues.  This could involve retrieving sterilization information, looking at instrument or case cart history and Case ID information in the SPM
  • Other:
    • Supports departmental quality improvement programs and assists with overseeing statistical information for projects as needed.
    • May be assigned to various hospital committees and to help other departments with various instrument or equipment needs.
    • Operates computer programs designed to track supplies, equipment. Ensures information in database is accurate and updated as needed.
    • Communicates recommendations to department management to enhance departmental operations.
    • Understands and enforces guidelines recommended by AMMI, CDC, OSHA, FDA and JCAHO.
    • Assists with other duties as departmental needs change.
 
Education:  Surgical Technologist graduate from an accredited college.
 
License & Certification:  Certified Central Service Technician and Surgical Technologist.
 
Experience:  Minimum of three (3) years’ hospital experience.
 
Required Skills & Knowledge:  Reporting and Database knowledge of Microsystems SPM software, Microsoft Excel, PowerPoint, Word.
